Job Description

In this highly visible Legal Executive Assistant role, you will work directly with multiple partners and senior legal professionals to manage complex schedules, drive case specifics and timelines, client relationship management, and ensure exceptional legal administrative support. You’ll act as a thought partner and key liaison, supporting legal teams across a wide range of practice areas. It’s vital that this candidate be comfortable working across complex legal documents, timekeeping and invoicing, and adjusting their schedule for their practice’s needs.

Key Responsibilities:

  • Provide calendar management, travel arrangement booking and adjustments, and managing appointment follow-up materials.
  • Coordinate meetings and logistics, and serve as a point of contact for both internal and external stakeholders.
  • Organize expense reports, client billing and invoicing needs, assuring time is tracked and payments are met. Communicate with a high-level of professionalism and customer service.
  • Prepare and review client invoices with attention to billing details and client-specific requirements. Assist with time entry, fee arrangements, collections, and budgeting efforts.
  • Support departmental staff with on-going projects and new issues as they become relevant.
  • Assist with trial support, document preparation and management, court filings (physical and electronic), and business development initiatives.
  • Serve as the lead and main point of contact in place of the partners and attorneys. Liaise on their behalf with important stakeholders and departments.
  • Compile, proofread and edit memos, documents, presentations and reports with a fine attention to detail.
  • Create and edit charts, spreadsheets, and presentations. Maintain organized files using legal systems.
