Job Description

We are seeking a dynamic and highly organized Executive Assistant / Project Manager to support a C-suite executive with a broad portfolio of responsibilities across business, philanthropy, and board leadership. This role is ideal for someone who thrives in a fast-paced, ever-changing environment and can bring structure, foresight, and calm to complexity.

You will serve as a strategic partner-managing calendars, coordinating travel, tracking projects, and ensuring seamless communication across internal and external stakeholders. This is not a traditional assistant role; it requires someone who can think critically, anticipate needs, and operate with a high degree of autonomy and discretion.

HYBRID - $75,000 - $95,000 depending on experience
Key Responsibilities

• Executive Support : Manage complex calendars, schedule meetings across time zones, and coordinate logistics for board meetings, investor calls, and philanthropic events.
• Project Management : Track priorities across multiple initiatives, ensuring deadlines are met and deliverables are aligned with strategic goals.
• Communication Liaison : Serve as the point of contact between the executive and internal/external stakeholders, drafting correspondence and managing follow-ups.
• Travel & Logistics : Plan and manage domestic and international travel, including detailed itineraries and contingency planning.
• Operational Oversight : Maintain systems to organize tasks, documents, and workflows.
• Confidentiality & Discretion : Handle sensitive information with the utmost professionalism and integrity.

Qualifications

• 5+ years of experience supporting C-level executives or senior leadership in a fast-paced environment.
• Strong project management skills with the ability to juggle multiple priorities.
• Exceptional written and verbal communication skills.
• Proficiency in Microsoft Office Suite
• Bachelor's degree from an accredited institution preferred.
• High emotional intelligence, adaptability, and a proactive mindset.
  

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
